Main Purpose of Job:

  • To enable the Bishops Wood Centre to operate effectively by providing administrative support, reception and conference services. To act as ‘first point of contact’ either by face to face, by phone or email

Responsibilities, Duties and Tasks:

  • Meet and greet visitors to the Centre in an efficient, cheerful manner presenting a good impression and maintain a calm and professional approach.
  • To ensure the rooms are clean, tidy and set up ready for the customer.
  • Ensure refreshments are available as ordered and kept topped up as required and to undertake the cleaning and domestic duties associated with this service.
  • Be available to visitors for information / assistance as required.
  • Ensure the security of all visitors by maintaining a record of all visitors to the Centre and issuing visitor badges as appropriate.
  • To ensure that the reception area is kept in a presentable manner at all times, and that all literature available to visitors is on hand and that relevant stock levels are maintained.
  • Assist with the administration as required: recording visitor numbers for Key Performance Indicators; compiling post visit packs for visiting schools; refresh display boards as instructed; record customer feedback; generate and distribute appropriate emails, letters of confirmation/cancellation to customers; deal with routine enquiries via phone, email, social media or face to face.
  • Assist with classes as required – this will mean going out with the class on their programme to assist the Bishops Wood tutor.
